Approval Notifications: Every Step Tracked Across Four Channels

A review gate that nobody checks is a gate that exists on paper only. An approval request sitting in a queue with no notification is a request that waits until someone remembers to look.

Every approval step now triggers a notification across four channels: email, Slack or Microsoft Teams or Google Chat, the bell notification inside the platform, and the approval events table. The requester, the approvers, and the org channel all receive updates at each stage. A closed-loop notification is one where every state change reaches every participant without anyone polling a dashboard.

Four Channels Cover Every Place a Team Already Watches

The notification goes out on every status change: request created, approved, rejected, changes requested, and deadline expired. Each channel receives the same event at the same time.

ChannelWhat it carries
EmailFull approval details to the requester and each approver
Slack, Microsoft Teams, or Google ChatPosted to the org channel
Bell notificationVisible inside the platform without switching apps
Approval events tablePermanent record with a hash chain

When recommendations close in bulk, a closing digest summarizes the batch instead of one message per item. This keeps the notification channel usable when a policy covers a broad recommendation category.

The Audit Trail Is Hash-Chained

Each approval event is written to the approval events table with a hash chain. Every record includes a hash of the previous record, so a deletion or edit breaks the chain. Auditors can verify the sequence without trusting the database alone.

Engine-made changes are logged as System rows in the Audit log. This separates automated actions from human actions, making audit log queries direct.

Compliance reviews start from the events table, not from memory. Every row answers who asked, who decided, and when the action ran. Teams running verified recommendations can trace each finding from detection through approval to execution.

Notifications Stop Helping When the Channel Is Too Noisy

A team with dozens of open approval requests per day receives dozens of notifications per day. When every message looks the same, the important ones disappear into the stream.

Notifications also cannot reach an approver who has muted the channel or turned off email. The platform sends the message, but delivery depends on the approver’s own notification settings in Slack, Teams, or their email client. The audit trail still records the event, but a recorded event and a read event are not the same thing.

For teams with role-based access and auto-remediation rules, the audit trail records every decision regardless of whether the notification was read. The chain of evidence exists even when the notification was missed.
